Job Description

 Summary

We are seeking a detail-orientated and highly organized individual to oversee the daily operations as well as the internal accounting of our accounting firm. The ideal candidate will have experience managing administrative staff and functions in a professional service environment. The candidate will work closely with our managing shareholder as well as other members of our management team. This is a full-time, in-office role in Minneapolis.

What you’ll do every day…..

Office Management:

  • Manage daily administrative operations, including front desk operations and client service
  • Supervise and support administrative team of 7 employees
  • Independently organize, plan and manage workload
  • Maintain a clean, organized and professional office environment
  • Manage accounting and office software systems and licenses
  • Oversee and work with internal IT support and 3 rd party vendors
  • Coordinate onboarding/offboarding of employees, including workspace setup and technology access
  • Ensure proper filing, storage, and confidentiality of sensitive financial and client documents
  • Ability to formulate and analyze reports
  • Assist in the management of compliance deadlines (tax deadlines)
  • Coordinate secure document sharing and e-signature processes

Accounting Functions: 

  • Support the general accounting functions, including accounts payables, payroll, accounts receivable and general ledger maintenance
  • Assist with month-end and year-end closing activities
  • Prepare and review financial statements, including balance sheets and other reports for management use
  • Assist with budgeting, forecasting, and financial analysis
  • Oversee cash management and reconciliation of bank accounts
  • Assist in the preparation of tax documentation and tax returns (sales tax returns, 1099s)

What you bring to the table …

  • Minimum of 5 years of experience as an office manager, administrative manager, or similar role including supervision of others (experience in professional services firm preferred)
  • Bachelor’s or associate’s degree in business administration, accounting or a related field is preferred
  • Experience with accounting software and Microsoft Office Suite (experience with CCH Axcess a plus)
  • Excellent organizational, multi-tasking, and problem-solving skills
  • Exceptional communication and interpersonal skills to interact effectively with staff, management, clients and vendors
  • High level of accuracy, attention to detail, and a commitment to quality
  • Access to a personal vehicle, Uber, or public transportation for occasional local travel
  • Occasional out-of-town travel by air or vehicle with overnight stay for training/conferences
