Role Summary

The Executive Assistant will provide executive and business development support, including calendar and meeting management, client relationship management support, and administrative tasks. The ideal candidate will be comfortable working independently, balancing priorities, and representing the CEO and company with professionalism in all interactions. An unflappable can-do attitude, ability to build strong relationships, tact, flexibility, and discretion are required.

This position can be hybrid, with work from home option available based on business needs. Individual must have a car and be able to drive for the occasional errands.

Salary: $60,000 to $75,000

Key Responsibilities:

Executive Support Tasks 

  • Serve as the primary point of contact and gatekeeper for the CEO’s time, managing calendars, emails, and calls. 
  • Organize and prioritize correspondence (calls, mail, and email) and draft timely responses as needed. 
  • Manage executive calendars, including coordinating internal and external meetings, travel, and logistics.
  • Track deadlines and priorities, proactively ensuring the CEO is prepared and commitments are met.
  • Manage executive contacts, ensuring they are captured in appropriate databases and social media
  • Route client and CEO requests to the appropriate team members and follow up to verify completion. 
  • Draft, edit, and format documents, reports, contracts and executive-level presentations for internal and external audiences.

Sales & Business Development Support:

  • Assist with pipeline tracking, CRM updates, and sales materials preparation. 
  • Coordinate and schedule client meetings, ensuring follow-up and proper documentation. 
  • Maintain accurate and up-to-date contact databases and CRM records; track client interactions, ensure timely follow-ups, and monitor relevant social media channels to support engagement and strengthen relationships with clients, prospects, and partners. 
  • Provide administrative support to sales and business development as directed

Administrative & Operational tasks 

  • Open and route incoming mail as directed.
  • Run occasional errands – such as mail pick up, depositing checks, etc. 
  • Manage physical and electronic filing systems, ensuring documents are organized and destruction protocols are followed. 
  • Prepare, track, and reconcile expense reports in accordance with company policies.
  • Special projects and other assignments as directed. 

Qualifications

  • Bachelor’s degree preferred; equivalent professional experience accepted. 
  • 3+ years of experience providing executive-level support required.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, ClickUp, CRM platforms). 
  • Excellent organizational and time-management skills with the ability to prioritize and pivot quickly. 
  • Strong written and verbal communication skills, with the ability to draft, edit, and present professional documents. 
  • High level of interpersonal skills with the ability to build strong relationships across diverse groups. 
  • Demonstrated ability to maintain confidentiality and exercise discretion. 
  • Strong analytical skills with the ability to synthesize and present data clearly. 
  • Ability to influence outcomes without direct authority. 
  • Flexible and adaptable, with the ability to work occasional non-standard hours based on business needs. 
  • Integrity, professionalism, and a proactive, solutions-oriented approach.
